How can contracts be signed within UZ Gent?

Contracts can be signed in two ways:

1. Digital signing

  • Via external signing software (e.g., DocuSign, AdobeSign)
    • An external party initiates the signing process using a signing software system such as DocuSign or AdobeSign.
    • The contract is first sent to the personal email address of the principal investigator. Afterward, it is sent to the Executive Director, using the email signingceo@uzgent.be.
    • No account is required; signing is done via the link in the email.
    • This process is free and does not require software installation or purchase.
  • Via eID in Adobe Acrobat
    • The contract is signed as a PDF using the electronic identity card (eID) of the principal investigator.
    • The signed PDF is then forwarded to HIRUZ (hiruz.contracten@uzgent.be). HIRUZ will handle the Executive Director’s signature.
    • Do not send an email to signingceo@uzgent.be for this process.

2. Signing on paper (wet-ink, if required)

  • Original paper copies are sent to the Executive Director via the HIRUZ signatory for manual signing.

Important Notes:

  • Always include the reference number (e.g., BC/ONZ/KW reference) in the email subject.
  • The Executive Director signs last in the UZ Gent signing process.
  • For external signing software, you can request the company to use your department’s email address to receive a copy of the signed contract.
